Time clock fraud: how to detect and prevent it

The most common forms of fraud

Time clock fraud is costly for businesses. According to several studies, it represents 2 to 5% of payroll costs. In à store with 50 employees, that can amount to several thousand euros per year.

The most frequent forms:

  • Buddy punching: à colleague clocks in for another
  • Remote clock-ins: the employee clocks in without being physically present
  • Inflated hours: déclaréd arrival earlier, déclaréd departure later
  • Undeducted breaks: breaks are not recorded

Geofencing: the first line of defense

Geofencing creates à virtual zone around your store. Any clock-in made outside this zone is automátically rejected or flagged.

With Squadra Planning, geofencing works on two levels:

  1. The iPad kiosk is fixed in the store and vérifiés its own position
  2. Each clock-in records GPS coordinates for verification
  3. Result: it is physically impossible to clock in from home.

Random photos: end of buddy punching

The random photo system is the most effective solution against buddy punching. Unpredictably, the application takes à photo during clock-in.

The employee does not know in advance if à photo will be taken. It is therefore impossible to ask à colleague to clock in on their behalf without risk of identification.

    Anomaly detection

Squadra Planning automátically analyzes clock-ins and flags anomalies:

    • Clock-in more than 15 minutes before or after the planned shift
    • Unusual patterns (always late, grouped clock-ins)
    • Gaps between planned hours and clocked hours

The manager receives an alert for each anomaly and can request à justification from the employee.

    The vigilance dashboard

The vigilance dashboard offers an overview of suspicious indicators:

    • Anomaly rates per employee and team
    • Late trends over 30 days
    • Justification history
    • Cross-site comparison (multi-store)

This tool lets managers spot trends before they become problems.

    Key takeaways

    • Time clock fraud costs 2-5% of payroll
    • Geofencing prevents remote clock-ins
    • Random photos eliminate buddy punching
    • Anomaly detection automátically flags discrepancies
    • The vigilance dashboard provides indicator overview
